How to Print Checks with Accounting Software
Check printing is one of the many extra things that you can do with your printer. While this is not a new practice, many are finding themselves stumped on printing checks, thinking that one has to be an expert in using accounting software to get this task done. But as more home businesses are organized today, and with easier GUI constantly developed for accounting programs, printing checks is just a matter of entering the right information in a form and clicking the 'print' button.
Most popular accounting software have check printing features including Quicken, Microsoft Money, and GNU Cash for Linux. The first thing that you must consider when it comes to printing checks is the check format. Make sure you know where the pre-printed lines and boxes are. Quickbooks and Microsoft Money are two of the most popular check printing formats that other accounting software follow.
There are four types of check formats for Quickbooks. First, voucher checks are primarily for payroll receipts since you can give a stub copy to your employee and keep the other for yourself. You can use a specialized tear-off paper to separate the stubs cleanly. Voucher checks may be printed using a normal laser or inkjet printer.
The format for standard checks allows us to print three checks from a page. This setup allows your laser printer to print multiple checks simultaneously. Standard checks can be issued to vendors who are not particular with the payment details. Standard checks are also helpful if you want a minimalist and paperless office since you can just keep the records in your software while getting rid of paper records. You might need an MICR toner in order to print standard checks.
Modifications to standard checks are office and away checks. It holds the same format as standard checks except for the punch holes that you can use for check binders. These checks fit well into these binders, which make your printed checks portable and allow you to issue checks on the go. Meanwhile, wallet checks are used for personal use and are smaller than other check formats. Wallet checks also have a stub on the side for printing payment details.
Make sure that your printer works well with Quickbooks. Compatible printers will ensure that the information will be properly aligned when the check is printed. Select papers that are chemically reactive when you buy computer checks. This will make sure that your check cannot be altered without leaving a blot on it. Preferably, your check paper has a padlock icon which certifies that the check paper passed the standards of Check Payment Systems Association. Also, find check papers that have microprint signature lines and an Original Document Security Screen at the back. These measures are important in maintaining the integrity of your printer check.
Electronic checks is just as important as any bank check that you hold in your business operations. These checks integrate well with your accounting software, allowing you to have more effective office operations.
